About this policy

The Low Carbon Liquid Fuels Knowledge Hub (“the Hub”) is owned by the Australian Government Department of Infrastructure, Transport, Regional Development, Communications, Sport and the Arts (DITRDCSA). It was developed and is maintained by the Queensland University of Technology (QUT) on DITRDCSA’s behalf. DITRDCSA is bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) set out in that Act, and personal information collected through the Hub is handled in line with them.

This policy explains what personal information the Hub collects, why we collect it, and what happens to it. It sits alongside DITRDCSA’s Privacy Policy, which applies across DITRDCSA’s activities.

What we collect

Information you give us through the contact form. Your first and last name, email address, organisation, an optional phone number, the category of your enquiry and the message you write. We collect this so we can answer you.

Your email address, if you ask to be notified about updates. We use it only to tell you about changes to the Hub. Every message includes an unsubscribe link, and you can ask us to remove you at any time.

Anything you type into Ask the Hub. The next section explains this in detail and is the part of this policy most worth reading.

Standard technical information. Like almost every website, our servers record the IP address of the device you are using, the date and time of your visit, the pages you request, and your browser and operating system. We use this to keep the Hub running and secure and to understand, in aggregate, which content people find useful.

We do not run advertising on the Hub. We do not build profiles of visitors. We do not sell, rent or trade personal information to anyone.

Ask the Hub

Ask the Hub answers questions using the content published on this website. There are three things you should know before you use it.

Your questions are sent overseas to be answered. When you send a question, the text of that question and the Hub content used to answer it are transmitted to OpenAI, whose servers are in the United States, which generates the reply. If you would prefer your words not to leave Australia, do not use the assistant. Everything it draws on is published on this site and can be read directly.

Please do not type personal information into it. The assistant does not need your name, email address, phone number or any other personal detail in order to answer a question about low carbon liquid fuels, and it is configured to disregard such details if you provide them. It is not a way to contact us or to reach a person – the contact form is.

Conversations are logged. We keep a record of the questions asked and the answers given, together with the IP address the question came from and an approximate city-level location, so that we can check the assistant is working properly and find gaps in the Hub’s content. These logs are held in the Hub’s own database.

The assistant generates its answers automatically. It can be wrong, incomplete or out of date, and nothing it says is professional advice. Each answer links to the page it drew on; check anything that matters against that source.

Cookies

The Hub uses a small number of cookies and browser storage to function – remembering that you have entered the site access password while the Hub is in review, remembering whether you have opened or closed the chat window, and applying a fair-use limit to how many questions one person can ask in a day. We also use Google Analytics and Microsoft Clarity to understand, in aggregate, how the Hub is used – which pages are visited, how people arrive, and how they interact with each page. These tools use cookies and similar technologies, do not receive your name or email address, and are not used for advertising or profiling. Our Cookie Notice explains what each tool collects and how to opt out.

Who else is involved

OpenAI, in the United States, processes questions submitted to the AI assistant, as described above. Google (Google Analytics) and Microsoft (Clarity) process aggregate usage data, as described under Cookies, and may do so on servers outside Australia.

Our hosting provider stores the website and its database and handles server logs on our behalf.

Some of these providers are located outside Australia. Where personal information is disclosed overseas, reasonable steps are taken, as Australian Privacy Principle 8 requires, to ensure the recipient handles it consistently with the APPs.

How long we keep it

Contact form submissions, mailing list subscriptions and chat logs are kept only as long as they are needed for the purpose described above, and are then disposed of in line with DITRDCSA’s records management obligations under the Archives Act 1983 (Cth).

Keeping it secure

We take reasonable steps to protect personal information from misuse, loss and unauthorised access. The Hub is served over an encrypted connection, and access to its administration area is limited to authorised staff and contractors working on the Hub for DITRDCSA.

Seeing or correcting your information

You can ask what personal information DITRDCSA holds about you and ask for it to be corrected if it is wrong. These requests are handled under the Privacy Act 1988 (Cth). There is no charge, and DITRDCSA will usually respond within 30 days. Email DITRDCSA’s Privacy Officer at privacy@infrastructure.gov.au.

Complaints

If you believe your personal information has been mishandled, write to DITRDCSA’s Privacy Officer at privacy@infrastructure.gov.au first so we have a chance to put it right. If you are not satisfied with the response, you can refer the matter to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy
